The information depends on how you use the service.
Contact and booking details
Your name, email address, phone number, booking information, messages and notes you provide before or after a call.
Telephone and voice-assistant information
When you call the automated assistant or use the website voice assistant, the service may process your voice, caller number, call time and duration, conversation transcript, call summary and any contact details you choose to provide. The assistant is designed not to request pension policy numbers, account details, detailed pension values, medical information or other sensitive information.
Service information
Information you choose to provide about pensions, retirement planning, financial objectives, documents, statements and questions you want help understanding.
Website and technical data
Basic technical information such as device, browser, pages visited, form submissions and security logs. We may add analytics or chat tools later.
How we use information
We use your information to run the service and communicate with you.

Examples may include Cloudflare, Cal.com, Zoho, Google Calendar, Stripe, Vapi, Twilio, Deepgram, Microsoft Azure voice services, OpenAI, n8n, Google Sheets, secure file storage and other automation providers used to deliver the live service.
International providers
Some technology providers may process information outside the UK. Where this happens, we aim to use reputable providers and rely on appropriate safeguards such as contractual protections or recognised transfer mechanisms where required.
Documents and retention
Please only send documents when requested.
Do not send pension statements, identity documents or other sensitive material until we have explained the upload process and confirmed what is needed.
We keep personal information only for as long as reasonably needed for the purpose it was collected, including service delivery, business administration, accounting, legal, insurance and record-keeping purposes.
Indicative retention periods
- General enquiries: usually up to 12 months
- Client service records: usually up to 6 years after the service ends
- Accounting/payment records: as required by tax and accounting rules
- Marketing preferences: until you unsubscribe or ask us to remove them
These periods may be adjusted where required by law, dispute, insurance or business need.
Voice-assistant transparency
The telephone and website voice assistants identify themselves as automated assistants. They provide information about the service and may collect brief contact details only after you ask to be contacted and explicitly confirm that we may use those details to respond.
Please keep calls non-sensitive
Do not provide pension policy numbers, National Insurance numbers, bank or card details, passwords, account login information, detailed pension values, medical information or confidential documents through the voice assistants.
Your rights
You may have rights to access, correct, erase, restrict or object to use of your personal information, to data portability, and to complain to the Information Commissioner's Office.

Cookies and third-party tools
The site is currently designed to be lightweight. The site uses booking, text-chat and voice-assistant tools.
